Vestas Asia Pacific & China provides both sales and service of wind power plants in Australia, New Zealand, India, Japan, Korea, Taiwan, the Philippines and the emerging markets in North South East Asia (NSEA). Administrative Team Lead should focus on Service Operation related tasks mainly in Japan.
Responsibilities
- Responsibility to centrally process/track/maintain master data of all customer part sales activities and related documentations for Japan Service Operations business - this includes liaison between the AOM1000/2000 site contracts and internal stakeholders (Service Sales, Supply Chain, Finance) and external customers.
- Expectation is to provide back-office support and front-desk communication, follow-through the service maintenance and sales process to ensure completion of obligations, and provide month-end sales forecasts to his/her manager.
Qualifications
- Service sales tracker maintenance to provide weekly/monthly forecasts
- Skilled data maintenance (site list, customer info, contract list, backlogs, market intelligence/trends)
- Clear communication of needs to process completion (quotation to billing)
- Preparation and processing of documentation for aftermarket (Time & Material and Spare Parts) contracts
- Liaising between the site office, service sales and service operations for any signed T&M contracts
- Site management fully aware of signed contract/promises to customer by service sales
- Create quotations, purchase order & purchase requisition purchase orders / purchase requisitions in the internal system
- Supporting customer calls with Service Operations and Service Sales related queries
- Provide short-term sales forecasts based on the tracker to management and advise on performance
- Local quotation & contract documents and e-bid handling
- Provide support by simple translation of sales presentation/brochures or drafting MoM if requested
- Support foreign field service technicians with simple email (English and Japanese) translation
- Document management and filing
- Active arrangement in all required service sales / site meetings
- Supporting field service operations staff with domestic and international business trip (hotel, airline) booking
- Prompt to respond, timely and accurate follow-ups with customers and internal stakeholders in the process
- Cross functional collaboration to fulfil customer promises and orders
- Supporting on-time billing at month's end
- Constructive participation and support for business process improvement initiatives
Competencies
- Supporting Service Operations management is tracking sales activities and forecasting
- Processing purchase order in SAP
- Responding to customer inquiries
- Cross-functional liaison (Service Sales, Supply Chain Operations, Finance, etc...)
