Welcome to our Project Planning & Coordination Team

You will be part of our Project Planning & Coordination Team in Offshore Construction which comprises a team of highly motivated colleagues, responsible for project execution including installation and commissioning of offshore wind turbines across the globe, with our main focus being on the Asia Pacific region.

 

In addition to project execution, our team also supports the rest of Vestas' value chain with our knowledge of construction projects and consequently, many of your tasks will also require cross-organisational collaboration.

 

Responsibilities

You will primarily be responsible for providing project-related and administrative support to the Project Manager and the project team during project preparation and project execution.

 

Your tasks will include:

  • In close collaboration with the Project Manager ensuring that projects run smoothly and are delivered on time, to budget and to the required safety and quality standards;

  • Assisting the project team with overall project-related administrative tasks;

  • Preparation of internal and external project meetings including follow-up on contractual deliverables as well as internal deliverables;

  • Attend and take minutes at project meetings, as well as handle and organise factory visits, meetings and events;

  • Assisting in preparing presentations for internal and external meetings;

  • Assisting in preparing external and internal progress reports;

  • SharePoint superuser including development, management and maintenance of the projects' SharePoint sites;

  • Ad hoc tasks e.g. proofreading and logging of contractual correspondence.

 

Qualifications

We expect that you have some years of experience as a Project Assistant, Personal Assistant or similar. As a person, you are dependable, systematic and pay attention to details, and it is important that you have good interpersonal skills and thrive in a role with many stakeholders.

 

Competencies

We expect that you:  

  • Hold a relevant education within communication or administration;  

  • Have good communication and English skills;

  • Have a structured work approach; 

  • Are flexible, open-minded and positive;

  • Are a team-oriented who is also able to work individually;

  • Thrive in an international environment;

  • Are an experienced user of Microsoft Office applications and SharePoint.
