The person in this role will work on a daily basis with Head of the Factory and the factory’s Executive Management Team, supporting their activities and providing ongoing administrative and organizational support to ensure efficient collaboration and communication
Responsibilities
- This position plays a vital role in the factory and will be an active part of the Management Team
- Coordinating visits at all organizational levels (including VIP visits), ensuring a professional experience for all guests
- Organizing and supporting internal events and activities
- Managing and organizing data to support reporting needs, including preparation of management reports, presentation and KPI summaries
- Supporting the Factory Management Team in day-to-day operations and strategic initiatives
- Overseeing internal communication processes, including content management within platforms such as the MyVestas app
- Managing internal and external correspondence with stakeholders in a professional and timely manner
- Performing other administrative tasks as assigned by the management team
- Handling and supporting the management team in logistical planning for meetings, calendaring, coordination of traveling etc.
- Overseeing and planning office area, and be a direct contact to our external facility management provider
- Be a strong partner with other factory assistants globally, and not least locally with city office
Qualifications
- Minimum 3 years of experience in a similar position (e.g., Executive Assistant, Office Manager, or Office Coordinator) in an international environment
- Fluent in both English (minimum C1 level) and Polish, both verbal and written
- Proficiency in Microsoft Office, especially PowerPoint, Word, and Excel
Competencies
- Advanced interpersonal and communication skills, combined with a warm, professional demeanor
- Proficient presentation skills – including the ability to prepare high-quality materials and deliver content effectively
- Demonstrated ability to self-manage, stay organized, and take initiative in an unpredictable work situation
- Effective planning and prioritization skills, with the ability to manage changing schedules and unexpected situations effectively

Work location: Szczecin, Brdowska 5, Poland
Travel days: up to 10 days travel mostly within Denmark the first year
