The Site Administrator role involves supporting the Site Manager and the broader team in various administrative tasks. This includes managing travel and accommodation, compiling site costs and invoicing, generating PO numbers, and handling document management for our wind farms currently under construction.

This position is site-based, and you will be required to relocate or live in the area during your roster period. We offer two types of rosters: either DIDO or living locally.

All travel, transport, accommodation, and meal allowances are provided, along with a competitive salary.

Applicants must have full work rights to work in Australia to be eligible for work in both Australia and New Zealand. The role is designed to expand to accommodate projects in New Zealand.

Responsibilities: 

 

  •  Raise, maintain and reconcile Site based Purchase Orders along with Purchase Order Register
  • Record information on incoming stock items, including checking quantities, recording locations, filing
  •  Reconcile expenses, including corporate credit cards and maintaining the  corporate card expense register is required
  •  Organize  annual training for Vestas-based employees
  •  Accurately capture/minute all Site based meetings
  •  Support Site Manager, and QSE Professionals to ensure all compliance of   WHSMP, ERP & CEMP are well documented and prepared in an accurate  and  timely manner
  •  Arrange all Emergency equipment required for the Site. First aid kits,  emergency response team PPE, radios etc
  •  Raise, maintain and reconcile vendor requirements for sites, site-based  purchase orders for non-conformance reports
  •  Tasks completed as required for KPI compliance
  •   Purchasing of Vestas project compound facilities and amenities order all Installation Consumables and tooling
  • Arrange all PPE orders for site-based employees and visitors
  • Arrange all travel, accommodation and vehicles for site-based employees and  visitors
  • Adhoc duties as necessary

 

Qualifications: 

 

  •  Minimum 2-3 years of experience in providing administrative support
  •  Certificate 3 in Business Administration is preferred but not essential
  •  Advanced Excel and Word software skills

 

Competencies:

 

  • Demonstrated experience in providing project administration and document control support to large-scale projects
  • Knowledge and working experience of SAP modules
  • Ability to liaise with multiple stakeholders
  • Management and reporting of budgetary requirements
  • Ability to work autonomously
  • Experience in high-pressure situations and the ability to make decisions
  • Understanding of transport/logistics in the local market
  •  Experience in preparing and presenting reports
