Vestas is currently seeking an Office Manager to manage Reception and provide Administrative support to the Melbourne Head Office, based on St Kilda Road. In this role, you will report to the Country Head of Sales AU/NZ, and be responsible for all telephone enquiries, deliveries, meeting room set-up and provide facilities management.  This role will also be the Chairperson for the Melbourne Head Office Social Committee, ensuring management of all social activities.


• Manage and maintain reception from 8.30am to 5.00pm, Monday to Friday
• Visitor meet and greet and ensuring they are signed in/out as per policy
• Manage incoming & outgoing mail/faxes, mailouts & remittance advises
• Manage stationary inventory, and kitchen supplies inventory (tea, coffee, fruit etc)
• Liaise with relevant suppliers, and coordinate courier bookings as required
• Manage and organise catering for both internal and external functions
• Processing of invoice’s through ARIBA
• Organise and coordinate events and activities as directed
• Lead the Vestas Social Committee
• Organise and coordinate building maintenance requirements
• Activate and deactivate security cards per new starts/leavers
• Budget control of office supplies, courier/post, corporate reception, facilities

• Sound experience in office management and manning of reception duties, ideally within a global organisation Solid recent demonstrated experience in providing general administrative support
• Intermediate MS Office, including Word & Outlook
• Highly developed professional communication skills, both verbal and written
• Well-developed Customer Relationship skills
• Efficient, proactive and able to prioritise and multi-task effectively
