Responsibilities 

  • Oversee and streamline office activities to ensure efficiency and adherence to company policies
  • Handle all incoming and outgoing communications, including phone calls, emails, letters, and packages
  • Assist in financial tasks such as budgeting and bookkeeping to maintain accurate records. Prepare and submit timely reports, as well as create presentations and proposals as needed
  • Manage agendas, travel arrangements, and appointments for upper management. Create, update, and maintain records and databases containing personnel, financial, and other essential data
  • Generate detailed reports, transcribe meeting minutes, create presentations, and conduct research as required
  • Maintain polite and professional communication through various channels, including phone, email, and mail
  • Monitor office supplies and place orders to ensure adequate stock. Provide support to colleagues and assist with various tasks whenever necessary

 
Qualifications

  • Minimum of 2 years of experience in office management or a related field
  • Proficient in office management systems and procedures
  • Knowledgeable in basic accounting principles and office management practices
  • Exceptional time management skills with the ability to balance responsibilities and prioritize effectively
  • Good communication and interpersonal skills
  • High attention to detail and good problem-solving abilities
  • Excellent proficiency in written and verbal English

 
Competences

  • High school diploma or equivalent; college degree preferred
  • Strong proficiency in MS Office and office management software (e.g., ERP systems)
  • Additional qualifications in secretarial studies are advantageous
  • Good communication skills
