General Purpose:
Provides reception and office administration assistance for Vestas. Administer general business office tasks. Such activities are clerical in nature and may include mail, work processing, filing, order processing, telephone answering and office supplies. Also performs ad hoc projects for the facility and management
Responsibilities:
- Operate PBX or multiline telephone system to answer incoming calls and directs callers to appropriate personnel; receives voicemail messages and forwards messages to the intended recipient.
- Provide office information to callers as appropriate, such as direction to the facility.
- Greet and register visitors and guests to the facility and manages access for those visitors and guests according to company policy, including issuing and administering temporary ID badges; contacting the employee receiving the visitor prior to admitting the visitor into the facility; accompanying the visitor to their destination in the facility as necessary; completion of non-disclosure agreements and providing safety video as needed.
- Assist employees in booking domestic and international travel using the Concur on-line booking tool and live travel agents.
- Complete purchase order requests and expense reports that are relevant to the administration of the office.
- Provide local oversight of office supply and equipment needs and works with the office supply vendor and internal colleagues to ensure that the facility has enough office supplies and equipment to meet business needs.
- Receive, sort and route mail and packages in cooperation with internal colleagues.
- Provide certain training materials to visitors and new employees and documents as necessary.
- Assist facility occupants in the performance of other administrative tasks upon request, including booking conference rooms, setting up catering needs, sending faxes and performing large print or photocopy jobs.
- Maintain the facility lobby and ensure a professional appearance at all times.
- Assist employees and management with P&C Services.
- Put together presentations (PowerPoint), spreadsheets, etc., as needed.
- All other duties as assigned
Competencies
- Proficiency in Microsoft Office Suite computer skills (Windows, Word, Excel, Power Point, Outlook)
- Ability to follow instructions.
- Ability to implement processes to efficiently conduct required administrative duties.
- Able to complete responsibilities in a timely, professional and quality manner
- Ability to interact frequently with others in a professional, courteous manner
- Flexibility with daily tasks and changing priorities
Qualifications
- High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
- Well-developed ability to work in teams, high degree of readiness for change & openness to new responsibilities, keen interest in learning new skills & knowledge, positive work ethic, reliability & professionalism to team/company, personal desire/value to produce quality work, and ability to perform with little supervision
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Pay Range: $22.50 - $27.50 per hour
